Policies:


Arrival. Please make an effort to arrive within 5 minutes of your appointment time and refrain from arriving over 10 minutes early. This prevents congestion at the counter and helps prevent HIPAA-sensitive conversations from being compromised.

Late Arrivals may have their sessions shortened in order to accomodate other's whose appointments follow yours.  Depending on how late you arrive, it may not be possible to provide a sufficient treatment. Should you agree to a shortened session due to lateness, you will still be responsible for the session's full cost.  Please plan accordingly and try to be on time.

HSA/FLEX/Insurance are NOT acceptable forms of payments for services at this facility. Clients may choose to submit to their various medical underwriters for reimbursement but will be required to use Cash, Credit Card, or a valid Gift Certificate to receive service.

 

Cancellation Policy

Weather: There are no penalties of any kind for appointments cancelled due to declared local emergencies and severe weather advisories, regardless of the time these warnings are posted relative to your appointment.

There is NO PENALTY of ANY KIND for appointments that are rescheduled or cancelled with 12 hours notice or greater.

It’s understandable that unanticipated events can occasionally occur and affect your ability to make your appointment.  However, Massage Therapy sessions are exceptionally difficult to fill with short notice or when there is a client no-show.

Oswego Massage Therapy maintains a 12hr cancellation policy which requires clients to inform of a rescheduling need or cancellation within 12 hours of the scheduled time.  “Late” cancellation/rescheduling is considered an alteration made with less than 12hrs notice.  “No Call/No Show” conditions are appointments where less than 2 hours notice is provided or no communication is provided at all.

Effective September 1, 2023 the following changes take effect regarding late cancellations or no show events:

-Oswego Massage Therapy will require clients to keep a valid card on file.  Prepayments scheduled appointments remain unnecessary.

-Appointments cancelled with less than 12 hours notice will result in a fee equal to the cost of the appointment.  No Shows will be assessed 100% of the cost of the appointment.  Initial confirmations and reminders will be sent in advance of your appointment.

-No Call/No Show on a First Time Appointment with a New Client will be charged 100% of the cost of the appointment and no further appointments will be scheduled in the future.

Confirmations and Reminders:

 -Initial confirmations will be sent via email at the time of scheduling.

-An email reminder will be sent 3 days prior to a scheduled appointment with a follow-up text reminder 2 hours before your appointment.  Clients are encouraged to check their spam folders if they have not received a confirmation or reminder email.  These communications are automated and provided as a courtesy to assist clients, however Oswego Massage Therapy does not guarantee receipt and does not assume responsibility for the clients ability to manage their appointments.


Reminders going to spam folder:

*If you are having difficulty receiving emails regarding your appointments, you may need to add Oswego Massage Therapy to your email’s “Safe Sender List”.  When doing so, add the following email addresses: scheduling@acuityscheduling.com and scheduling@squarespacescheduling.com


Optional prepaid appointments and late cancellations:  For clients who prefer to use the OPTIONAL prepayment and have to cancel their appointment with less than 24hrs notice, the balance of their prepayment will stand as credit for rescheduling less the 50% late fee. No Shows will forfeit 100% of the prepayment amount, per the general cancellation policies.


Gift Certificates and Late Cancellations/No Shows: Appointments where a Gift Certificate with a VALID CODE was used at the time of scheduling will be 100% forfeit in the event of both late cancellations and No call/No Shows. Appointments made with a physical gift card (where there is no online code) or made under the assumption a valid gift certificate would be provided at the time of service will be charged to the card on file for the fees associated with the cancellation with no exceptions.

-Clients with outstanding late fees will be suspended from scheduling until the late fees are rectified.  Accounts with outstanding charges in excess of 30 days may be permanently prohibited from future scheduling.

-Repeated No Show situations will preclude clients from future scheduling.

Sending alternates.  Unless pre-approved, it is unacceptable to send an alternate client in place as a last-minute solution to a cancellation.  In instances such as this, an alternate client for your appointment must already be an existing client, the appointment must be paid in advance, and approval from the therapist must be granted.

 


Gift Certificates/Packaged Sessions are non refundable, and cannot be exchanged or combined for or with other services. Gift Certificates/Package Sessions for a specific service or session length cannot be broken down into different session lengths or used as partial payment for an alternative session length.

Specials.  Unless otherwise specified, sales prices or special offers cannot be combined.

Returned Checks.  There will be a $25 charge for all returned checks.

Health Intake forms must be completed prior to any service for first-time clients.

Minors 16 years old or under will be referred out to a pediatric massage therapist.  Oswego Massage Therapy does not provide treatment services to individuals under the age of 16.  Ages 16-18 require the presence of the parent or legal guardian in the room at all times during treatment.

Privacy Statement.
All client information is safeguarded and will not be shared with any third party at any time unless disclosure is required by law, required by court order or client has released written consent for insurance purposes.  This includes both written and verbal communication, client records, and client schedules.  Clients may receive copies of their records following written consent.  Clients have the right to refuse, modify, or terminate treatment at any time regardless of prior consent.  Oswego Massage Therapy does not discriminate or withhold services based on culture, ethnicity, age*, gender, belief, or sexual orientation.
*With the exception of uniformly restricting services to ages above 13 years.
Oswego Massage Therapy reserves the right to refuse, modify, or terminate treatment to any individual at any time.  Clients will be refused service if there is suspicion that they are under the influence of drugs or alcohol.
